SIA “vvwood”
DISTANCE CONTRACT
For the online store www.saunaroom.eu
Effective from 13 June 2026
This Distance Contract governs the legal relationship between SIA “vvwood” and a buyer who purchases products from the online store www.saunaroom.eu, where the seller and the buyer are not physically present together at the time the contract is concluded.
1. Parties to the Contract
The seller is:
SIA “vvwood”
Registration No. 40203631725
The buyer is a natural or legal person who places an order through the online store or otherwise agrees with SIA “vvwood” on the purchase of a product.
Where the buyer is a natural person purchasing a product for purposes unrelated to the buyer’s commercial or professional activity, the buyer is considered a consumer and is protected by the applicable consumer-protection legislation.
Consumer rights apply to legal persons and natural persons purchasing products for commercial or professional purposes only where required by law or separately agreed by the parties.
2. Conclusion of the Contract
A distance contract is considered concluded when:
the buyer has placed an order through the online store;
the buyer has accepted the applicable terms;
SIA “vvwood” has confirmed the order or received payment in accordance with the procedure stated in the online store.
An automatically generated acknowledgement that an order has been received may only confirm receipt of the order and does not necessarily constitute final acceptance of the order.
Where an order requires the individual calculation of delivery costs or the approval of manufacturing possibilities, dimensions, materials, drawings, or other terms, the contract for that order is considered concluded after:
the parties have agreed on the essential terms of the order;
SIA “vvwood” has confirmed that the order can be fulfilled;
the buyer has made the required payment or advance payment, where applicable.
Before confirming the order, the buyer is responsible for checking the entered information, selected products, quantities, dimensions, delivery address, and contact details.
3. Product Information
Product names, descriptions, prices, main characteristics, materials, dimensions, availability, and other relevant information are displayed with the relevant product in the online store.
SIA “vvwood” makes reasonable efforts to ensure that the information published in the online store is accurate and current.
Product photographs are illustrative. The actual appearance of a product may differ from the photographs because:
colours may appear differently on different device screens;
the colour, texture, grain, and knots of natural wood are unique to each product;
each handmade product may vary slightly in shape and detail;
custom-made products may include previously agreed construction or design changes.
Where a specific colour, shape, wood pattern, dimension, or other characteristic is important to the buyer, the buyer should contact SIA “vvwood” at info@saunaroom.eu before placing the order.
4. Characteristics of Natural Wood Products
Products offered by SIA “vvwood” may be manufactured from natural wood, including juniper and other wood materials.
Natural wood products may vary in:
colour;
grain direction and pattern;
knots;
texture;
growth rings;
the shape and size of individual wood slices;
aroma intensity;
natural cracks, irregularities, and other characteristics of wood.
Such natural variations do not, by themselves, constitute a defect or non-conformity where the product corresponds to its description and essential characteristics and is suitable for its intended purpose.
Natural wood may react to changes in humidity and temperature. The buyer must follow all applicable storage, care, installation, and use instructions.
5. Custom-Made and Personalised Products
Where a product is manufactured according to the buyer’s individual instructions or is clearly personalised, the buyer must carefully check all agreed information before confirming the order, including:
product dimensions;
shape;
materials;
finish;
colour;
construction;
configuration;
engraving;
inscriptions or logos;
drawings and sketches;
the intended installation location;
other individually agreed terms.
Custom-made or personalised products may include, for example:
custom-sized juniper panels;
made-to-order sauna interior elements;
ventilation diffusers;
sauna lamp shades or protective covers;
wall decorations;
personalised wooden products;
products adapted to a specific room or project.
After receiving the buyer’s approval, SIA “vvwood” is not responsible for errors resulting from inaccurate information, dimensions, drawings, sketches, or other instructions supplied by the buyer.
The right of withdrawal may not apply to such products in the circumstances provided by applicable law.
This restriction does not affect the buyer’s right to submit a claim where the custom-made product is damaged, does not correspond to the approved order, or does not comply with the contract.
6. Product Prices
Product prices in the online store are stated in euros.
Unless otherwise indicated with the relevant price, prices intended for consumers include value added tax.
Prices for legal persons, registered business customers, or individual quotations may be stated without value added tax where this is clearly indicated with the price, in the quotation, or on the invoice.
Delivery charges, customs duties, import taxes, special packaging, installation, and other additional services are not included in the product price unless otherwise stated.
Where an obviously incorrect price is displayed due to a technical error, SIA “vvwood” may contact the buyer and offer the product at the correct price or cancel the relevant order.
Where the buyer does not accept the corrected price and payment has already been made, SIA “vvwood” will refund the payment received for the unfulfilled order.
7. Payment Terms
The available payment methods are displayed in the online store, during checkout, or on the invoice issued by SIA “vvwood”.
Depending on the order, the following payment methods may be offered:
bank transfer;
payment card;
an online payment solution available through the online store;
advance payment;
another payment method individually agreed with the buyer.
Order fulfilment may begin only after full payment or the agreed advance payment has been received.
An advance payment may be required for custom-made products. The amount of the advance payment and the deadline for paying the remaining balance will be stated in the quotation, order confirmation, or invoice.
Payment is considered received on the date the funds are credited to the bank account of SIA “vvwood” or confirmed by the relevant payment-service provider.
8. Order Confirmation and Fulfilment
After receiving an order, SIA “vvwood” may send the buyer:
an acknowledgement that the order has been received;
final order confirmation;
an invoice;
a delivery-cost calculation;
information about the estimated manufacturing or delivery period;
a request for additional information or clarification.
SIA “vvwood” may suspend order fulfilment where the buyer has not provided the necessary information, has not approved the parameters of a custom order, or has not made the required payment.
Where an order cannot be fulfilled, SIA “vvwood” will inform the buyer.
Where payment has already been made but the order cannot be fulfilled, SIA “vvwood” will refund the amount received for the unfulfilled order.
The parties may agree on:
another product;
different dimensions or materials;
a longer manufacturing period;
partial fulfilment of the order;
another mutually acceptable solution.
9. Delivery
The available delivery methods, delivery area, charges, time limits, and other conditions are described in the Delivery Terms.
Delivery charges are displayed during checkout or agreed with the buyer before the order is finally confirmed.
Where delivery charges cannot be calculated automatically, they will be calculated individually based on the product’s dimensions, weight, packaging, and delivery address.
The buyer is responsible for providing accurate delivery information and informing SIA “vvwood” about any access or unloading restrictions.
10. Right of Withdrawal
A consumer has the right to withdraw from a distance contract within 14 days after receiving the product without providing a reason, except in the circumstances provided by applicable law.
The right of withdrawal may not apply to products that are:
manufactured according to the consumer’s individual instructions;
manufactured according to dimensions, drawings, or sketches provided by the consumer;
clearly personalised;
adapted to a specific room, structure, or project;
manufactured in a special colour, shape, finish, or configuration;
marked with an individual engraving, inscription, or logo.

11. Non-Conformity of Products
Where a product does not conform to the contract, a consumer may use the remedies provided by applicable law.
A notification concerning a damaged or non-conforming product should be sent to:

The notification should include:
the buyer’s full name or company name;
the order number;
the name of the product;
a description of the defect or non-conformity;
the date on which the issue was identified;
the buyer’s preferred solution;
photographs or other evidence, where possible.
SIA “vvwood” will review the submitted information and offer a solution in accordance with applicable law.
Depending on the circumstances, the solution may include:
repair of the product;
replacement of the product;
a reduction in the price;
a refund;
another solution agreed with the buyer.
12. Warranty and Commercial Guarantee
The buyer’s statutory rights regarding the non-conformity of a product are not dependent on whether an additional commercial guarantee has been provided.
Where a commercial guarantee is offered for a specific product, its duration, conditions, and guarantor will be stated in a separate document, product description, or guarantee certificate.
A commercial guarantee does not restrict the consumer’s statutory rights.
A guarantee or liability for non-conformity may not apply to damage resulting from:
incorrect installation;
incorrect use;
unsuitable care or cleaning;
improper storage;
mechanical damage;
excessive humidity, heat, or temperature fluctuations where the product is not intended for such conditions;
unauthorised alterations made by the buyer or a third party;
normal wear or natural changes in wood.
13. Buyer’s Responsibilities
The buyer is responsible for:
providing truthful, complete, and accurate information;
checking all details stated in the order;
approving dimensions, drawings, sketches, and other parameters before a custom-made product is manufactured;
making payment on time;
ensuring that the product can be delivered and accepted;
following the applicable installation, storage, use, and care instructions;
notifying SIA “vvwood” promptly of any identified damage or non-conformity.
The buyer is responsible for consequences arising from inaccurate information, incorrect dimensions, improper use, or failure to follow the applicable instructions.
14. Liability of SIA “vvwood”
SIA “vvwood” is responsible for fulfilling its obligations in accordance with the contract and applicable law.
SIA “vvwood” is not responsible for loss or delay resulting from:
inaccurate or incomplete information supplied by the buyer;
incorrect dimensions or configurations selected by the buyer;
improper installation, use, storage, or care of the product;
the acts or omissions of third parties;
carrier delays where SIA “vvwood” has properly fulfilled its obligations;
force majeure or other circumstances that could not reasonably be controlled.
These limitations do not apply where liability cannot lawfully be limited.
15. Intellectual Property and Materials Supplied by the Buyer
The content of the online store, including texts, photographs, designs, logos, product descriptions, and other materials, is protected by intellectual-property law.
Such materials may not be copied, published, distributed, or used commercially without the prior written consent of SIA “vvwood”.
By providing SIA “vvwood” with drawings, sketches, images, logos, texts, or other materials, the buyer confirms that the buyer has the right to use and provide those materials for the fulfilment of the order.
The buyer is responsible for third-party claims arising from the unauthorised use of materials supplied by the buyer.
16. Processing of Personal Data
The buyer’s personal data may be processed in order to:
accept and fulfil the order;
process payment;
arrange delivery;
communicate with the buyer;
prepare invoices and accounting documents;
provide customer support;
review claims and withdrawal requests;
fulfil legal obligations;
protect the legitimate interests of SIA “vvwood”.

17. Amendments to the Contract
SIA “vvwood” may amend this Distance Contract where:
the operation of the online store changes;
new services or payment methods are introduced;
delivery or order-fulfilment procedures change;
applicable legislation changes;
clarification or supplementation of the terms is required.
The version of the Distance Contract in force at the time the order was placed applies to that order unless the parties agree otherwise or applicable law requires a different procedure.

18. Dispute Resolution
Questions and disputes between SIA “vvwood” and the buyer should first be resolved through mutual negotiation.

The complaint should include the buyer’s contact details, order number, and a description of the issue.
Where an agreement cannot be reached, a consumer may contact the Consumer Rights Protection Centre of Latvia or use other out-of-court or court dispute-resolution procedures available under applicable law.
Disputes involving legal persons will be resolved in accordance with the laws of the Republic of Latvia unless the parties have agreed otherwise in writing.
19. Applicable Law
This Distance Contract and the legal relationship arising from it are governed by the laws of the Republic of Latvia.
This provision does not restrict any mandatory protection granted to a consumer in another European Union country where such protection applies under applicable law.
